What the job involves
- The Executive Assistant’s primary role is to be ‘right hand person’ to the General Manager of the North America region and will have a dotted line to SVP, Marketing & Events
- The ideal candidate will need to understand and manage prioritization of meetings, workload and recommend and administer effective meeting cadence across the local NA Leadership team and external suppliers/retailers
- The Executive Assistant will be required to support GM/SVP, Marketing & Events with note taking at the relevant internal meetings
- Accountable for the management of GM diary and inbox, ensuring that time is managed effectively by understanding daily and weekly priorities and making judgement calls on prioritization of appointments to maximize the reach and impact; taking a strategic approach to the use of available meeting hours, managing multiple time zones and recommending efficiencies in meeting regularity and attendance
- Prioritize and plan diaries and mailboxes, looking ahead to ensure all pre-read and meeting agenda received in appropriate time and actions followed-up and incoming requests are prioritized and surfaced regularly
- Ensure the production of timely briefings, presentations and briefing notes to leadership team/others as appropriate from meetings
- Manage travel and expense budget, including planning all international trips and time with regional teams in store and also annual Global team gatherings and agendas
- Managing Team budgets, including raising the necessary POs and liaising with the Global Finance Team’s to ensure the timely processing of invoices
- Assisting with external commitments
- Liaise with NA Leadership Team, Executive Leadership Teams and Regional Teams as appropriate to ensure that GM is adding value to their work in a timely and effective way
- Managing Relationships: Maintain a watching brief over external contacts ensuring timely, appropriate and effective engagement
