Who you are
- The ideal candidate is a true team-player, highly organized, and comfortable operating in a fast-paced environment
- 3+ years of experience in corporate operations, travel coordination, or related workspace support roles, preferably in a fast-paced environment
- Ability to work 4 days/week on-site in our Flatiron office
- Exceptional organizational abilities, strong problem-solving skills, and the capacity to handle competing priorities in a fluid, high-growth environment
- Proven success supporting workplace management, physical security, and building compliance measures
- Familiarity with building infrastructure systems, operational software, and facility management platforms
- Proficiency in Google Workspace and related tracking systems
What the job involves
- We are seeking a proactive and detail-oriented individual to support our day-to-day corporate operations
- This role combines logistical coordination with workplace project support, requiring someone who can seamlessly shift between vendor management and day-to-day operational execution
- Coordinate end-to-end logistics, accommodation arrangements, and itinerary schedules for NYC personnel
- Maintain specialized operational calendars and oversee meeting room utilization for employees and external clients
- Act as a primary ambassador for the physical workspace, welcoming incoming guests and facilitating seamless arrival communication
- Conduct routine walkthroughs of the workspace to optimize space planning, resource utilization, and capacity audits
- Assist in the management of the local operational budget, tracking expenditures, identifying cost savings, and providing regular financial updates to management
- Address and resolve day-to-day operational inquiries swiftly and efficiently
- Facilitate internal updates and cross-functional communications to keep workflows aligned
- Support the broader organization by tackling ad-hoc projects and stepping in to assist colleagues with unexpected operational needs
