Who you are
- The ideal candidate will possess a dynamic personality, demonstrating a genuine enthusiasm for engaging with different individuals, departments, and facets of our organization
- With a minimum of 3-5 years of experience supporting VP-level executives, the successful candidate will be a "chameleon", able to seamlessly integrate into new workflows, ensure operational continuity, and provide invaluable assistance across diverse functions
- Experience: 3+ years of experience as an Administrative Assistant or Executive Assistant supporting leadership-level executives
- Adaptability: Proven ability to quickly learn and adapt to different executives' working styles, preferences, and internal processes without missing a beat
- Emotional Intelligence: High EQ with a strong ability to build trust rapidly with new teams and maintain a calm, solutions-oriented demeanor under pressure
- Communication: Exceptional written and verbal communication skills
- Organization: Strong organizational skills, meticulous attention to detail, and a strong sense of urgency and proactiveness
- Project Skills: Proven experience assisting with or managing ad-hoc operational or administrative projects
Desirable
- AI Experience: Familiarity with using AI tools to streamline administrative tasks and increase efficiency
- Hospitality Background: Experience in hospitality, guest relations, or luxury client services is highly valued
- Google Workspace: Strong proficiency with Google Workspace (Gmail, Calendar, Docs, and Sheets)
- Navan Experience: Prior experience using Navan for booking travel and managing expenses
What the job involves
- We are currently seeking a highly skilled and adaptable Floating Administrative Assistant to join our team
- This individual will provide comprehensive backup administrative support to executives across various organizations as needed
- You will step in as a vital reinforcement to the admin team to cover planned and unplanned absences (such as PTO, sick days, maternity/paternity leave, and sabbaticals) and provide overflow support during peak project periods
- Seamless Coverage: Provide comprehensive backup administrative support to executives during EA absences, demonstrating rapid proficiency in their specific calendar management, domestic and international travel arrangements, and expense reporting
- Adaptable Prioritization: Exhibit exceptional multitasking abilities and adeptness in prioritizing tasks within a fast-paced environment, while maintaining meticulous attention to detail, accuracy, and adherence to deadlines
- Cross-Functional Communication: Serve as a reliable liaison between executives and internal/external stakeholders, facilitating effective communication and collaboration across all levels of the organization
- Project & Overflow Support: Handle ad hoc projects, event coordination, and operational assignments with professionalism and efficiency, demonstrating flexibility and resourcefulness in addressing evolving priorities
- Process Improvement: Contribute to the efficiency of office operations by anticipating needs, proactively identifying solutions, and implementing streamlined processes for hand-offs and coverage
- Confidentiality: Handle highly sensitive and confidential information with the utmost discretion and professionalism at all times
