- Experience managing calendars, booking travel, and processing expenses for multiple executives
- Must be in New York and able to come into office 3 days a week
- High degree of discretion and confidentiality
What the job involves
- We are looking for an Executive Assistant to support a few members of our Asset Management Senior Team
- Responsibilities include coordinating with clients, managing calendars, liaising with vendors, managing the flow of information, and streamlining expense reports, event planning and other back-office tasks
- Act as the point of contact for a few Senior Leaders and team among executives, employees, clients, and other external partners
- Maintain calendars by screening for double bookings and setting up meetings
- Manage information flow in a timely and accurate manner
- Track third party costs, following up internally with legal for contract review/signature
- Process expense reports
- Screen and direct phone calls
- Make client entertainment arrangements
- Make travel and accommodation arrangements
- Ad hoc projects (Ex: printing materials for in-person meetings, assisting with catering orders, etc.)
