Who you are
- We’re seeking a highly organized, proactive Executive Assistant to support members of our executive team
- Ideal candidates are detail-oriented multitaskers with strong communication skills, tech-savvy problem solvers, and a passion for startup culture
- Previous experience supporting executives in technology or high-growth environments is a plus
- High school diploma or equivalent; bachelor's degree preferred
- Minimum 3 years of experience in an Executive support or related role
- NY based with the ability and enthusiasm to work in office Monday-Friday 5 days a week
- Be an independent self-starter who excels in a fast-paced environment and is comfortable owning a high level of responsibility
- Takes initiative to solve problems
- Extreme attention to detail and a proactive approach to problem-solving
- Excellent organizational, multitasking, and verbal and written communication skills
What the job involves
- In this role, you’ll manage scheduling, coordinate meetings and travel, handle confidential communications, and help streamline operations across teams
- You’ll serve as a key point of contact for internal and external stakeholders, ensuring priorities are executed efficiently in a dynamic, fast-paced environment
- Executive Support: Manage complex calendars, scheduling, and prioritization for executive team members, ensuring optimal time management and alignment with company goals
- Meeting Coordination: Prepare agendas, compile briefing materials, record notes, and track follow-up actions to ensure accountability
- Travel Management: Plan and coordinate detailed domestic and international travel itineraries, accommodations, and logistics
- Communication Liaison: Serve as the primary point of contact between executives, team members, investors, partners, and external stakeholders
- Information Management: Draft, review, and manage correspondence, reports, presentations, and confidential documents with accuracy and discretion
- Project Support: Assist in tracking key company initiatives, ensuring deadlines are met and deliverables are aligned with strategic priorities
- Operational Efficiency: Anticipate executive needs, identify process improvements, and proactively streamline administrative workflows
- Event Coordination: Plan and support company meetings, team offsites, board sessions, and investor events
- Financial Administration: Manage expense reports, budgets, invoices, and vendor relationships as needed
- Confidentiality & Judgment: Handle sensitive information with the highest level of professionalism, integrity, and discretion
- Technology & Tools: Utilize productivity tools to optimize executive and team operations
- Facilities: Assist the OM as needed for in office operations, events, and meetings
- Employee Support: Assist with onboarding new employees, including workspace setup, IT support coordination

Eight Sleep makes “smart” mattresses and mattress covers (for regular mattresses) that use machine learning and other artificial intelligence-based algorithms to improve your sleep both by changing temperature and monitoring other physical parameters to provide an overall picture of your health.
The company is focused on two levers for growth. First, building out more technology through additional products and acquisitions, exemplified by the introduction of Span Health’s fitness-tracking app. Secondly, international expansion in Europe, where it has got off to an impressive start in the UK.
