Role

Who you are

  • 2–3 years of experience in office management, workplace operations, or a similar role in a fast-paced, high-scale company
  • Excellent interpersonal and communication skills, fostering a welcoming and professional workplace while effectively managing relationships with internal and external stakeholders
  • Event management experience, including planning and executing events with 100+ attendees
  • Strong organizational and project management skills, with the ability to juggle multiple priorities and solve problems proactively
  • A hands-on, proactive mindset with a passion for creating an outstanding workplace experience
  • Experience with vendor negotiation and contract management
  • Tech-savvy, with experience using Slack, Notion, Miro, Jira, GSuite, and Asana to streamline workplace operations
  • Knowledge of Berlin workplace compliance, safety, and security regulations
  • C2 Level fluency in German and C1 fluency in English (additional languages are a plus)

What the job involves

  • As Office Manager (f/m/d) at Parloa, you will play a key role in creating a well-organized, welcoming, and efficient workplace
  • As part of a global four-person Workplace Management team, you’ll oversee daily office operations, maintain strong vendor relationships, and ensure a seamless office experience for our employees
  • From managing supplies and optimizing office space to coordinating workplace initiatives, you’ll be the go-to person for all office-related needs—helping to create an environment where everyone can thrive
  • Ensure a service-oriented approach by addressing employee needs and creating an exceptional workplace experience through a supportive, welcoming, and well-organized office environment that promotes well-being, productivity, and performance
  • Oversee daily office operations, ensuring a seamless and positive experience for all employees and addressing any concerns promptly
  • Manage vendor relationships, negotiate contracts, and handle office procurement, ensuring timely and high-quality services, supplies, and equipment
  • Plan and execute office events, celebrations, and engagement activities that foster a strong company culture and enhance employee engagement
  • Serve as the go-to person for all facility-related matters, collaborating with landlords, security, and service providers to ensure smooth operations
  • Ensure the office is well-stocked, organized, and offers a comfortable, inspiring space that supports employee well-being and productivity
  • Collaborate with IT and People & Culture teams to improve the overall workplace experience, supporting processes like onboarding and offboarding
  • Oversee workplace safety, security, and emergency preparedness to maintain a compliant and secure environment
  • Continuously identify opportunities to enhance workplace efficiency and employee satisfaction through service-oriented solutions
