What the job involves
- In-person facilities support for the Sift San Francisco HQ and virtual support for the Dublin Ireland suite (Manage front desk, badge/access requests, vendor COI’s, coordination with property management, work order submissions, ensure catering set up, breakdown, tidy space, etc)
- Shipping & receiving; Assembling new hire swag boxes and and generating UPS labels,, USPS labels for mail processing, notifying employees of packages etc
- Supporting a variety of in-person and remote/hybrid events, with an emphasis on back-end logistics support/research/draft comms & physical office access as needed
- Documentation: Proactive maintenance of Workplace related Confluence pages, data collection for events, calendar updates for lunch catering menus
- Create surveys for pre-event logistics and post-event feedback
- Monthly receipt reconciliation/assist with locating data from various vendors (Amazon, USPS, UPS, Spotify, etc)
- Employee anniversary recognition/ tracking and shipments to non-SF based employees
- Light graphic design for in-office events and/or procedures
- Supporting vendor research as needed
- Safety and Security: Lead Safety Warden team for SF HQ
- Ad Hoc projects and great opportunities to collaborate with other departments
- Support employee events such as Welcome Orientation for new hires, All-Hands Meetings, Sift Cafe social gatherings (e.g. co-host in Zoom, updating slides)
- Create and manage calendar events
- Manage logistics of the employee recognition activities (e.g. Siftversary blogs, coordinating with people managers who recognize direct reports, all-hands slides for Siftversaries and awards, invitations to events, etc.)
- Supporting online and in-person community programming and content (e.g. crafting Slack messages that remind employees about upcoming events)
- Support various documentation and intranet management tasks that focus on keeping Sifties informed and able to find information they need to Get Sift Done (e.g. updating Confluence intranet pages, working with business partners to help them keep their pages updates)
- Support internal communications work as needed (e.g. supporting in-person weekly hybrid all-employee meetings in Sift Headquarters office; writing first drafts of communications)
