Event Logistics Manager, HLTH

• 3+ years' experience working in exhibitions and/or conferences
• Experience in tendering for suppliers and services, obtaining quotes, negotiating costs and creating Service Level Agreements
• Experience in budget management, consistency with keeping to budget and confidence in reporting and reconciling
• Experience managing pre show and onsite production for large scale features and installations
• Health and Safety awareness, ideally with IOSH certification or equivalent
• Self driven with the ability to maintain perspective and adjust task specifics where necessary to meet the overall event objective
• Comfortable working at pace, able to keep calm under pressure and proactively problem solve where necessary
• Relentlessly client focused with first class communication skills and ability to build and maintain relationships, with internal and external stakeholders

Desirable

• With projects ranging from managing the delivery of key event features, partner programming and onsite signage you will have the opportunity to help shape the identity of the event, building internal systems as you go
• Collaborating with the wider event team to pull together the brief for the activations/ space, you will then work though the tender and planning process with suppliers, managing quotes, plans and build schedules to ensure timely delivery of the features onsite
• You will ensure that budgets are adhered to and that all internal records are updated accurately
• You will maintain all internal reference documents, and collate/ review third party/ supplier documentation (H&S/ insurance docs/ certs. etc) as required
• Manage supplier/ venue/ partner (and where applicable sponsor) queries, working with the wider logistics team to delegate where appropriate
• Delivery of all Partner Programming - You will be responsible for the onsite delivery of all partner programming at the event
• From briefing in suppliers, venue and contractor liaison, through to onsite scheduling, set up and open day management
• Managing the AV, signage, venue services and delegate F&B you will own this area of the event budget, forecasting and updating where required
• You will update and maintain relevant internal documents and records, working closely with the content team to keep them abreast of plans and developments
• You will onboard all partner programme personnel and manage the relationship with their logistics/ operations team to ensure a successful event for all
• Delivery of all non sponsor signage - You will own the signage schedule for all non sponsor signage and manage the full process from briefing in the specs to the designers through, proofing and sign off
• You will liaise with suppliers and the venue to order all required services and produce plans to confirm location / orientation of all signage
• You will be responsible for the maintenance of all internal records relating to the signage schedule, working with the creative team to produce virtual plans
• Once onsite you will work closely with the suppliers to oversee the installation, checking all elements against the signage plan and schedule and troubleshooting any issues
• You will work with the Head of Logistics to develop a post event plan for the recycling and re-use (where applicable) of all print elements
• Supplier & Venue Liaison - Day to day management of the relationship with suppliers, ensuring timely and streamlined communication
• Liaison with the RAI team to manage relevant service orders and schedules
• Temporary Staffing - Working with the Head of Logistics to develop a staffing plan and schedule, you will brief in the requirements for each role and work with the supplier/s to oversee team training
• You will act as point person for the temporary staffing leads for the event and work with them to ensure a consistently high level of customer service by all
• Team & Growth - Support, mentor and coach individuals undertaking operational responsibilities to help spread knowledge and best practice
