• 2-3 years of administrative or office management experience

• We are seeking to hire an Office Manager in our Chicago office
• This role is integral to cultivating Wpromote culture and playing an active role in employee experience and engagement
• You are an office ambassador, and you will interact with visitors, clients, vendors, and employees at every level, every day
• The Office Manager will report directly to our Director of People Operations
• Responsible for managing office services by ensuring office operations and procedures are organized for our Chicago (in-person) and NYC (remote) offices
• Working closely with the POPS team and local employees on office requests, needs, and engagementWorking with the building to submit work orders and create keycards for our Chicago office and NYC WeWork office as needed
• Providing general support to all visitors, clients, vendors, and our POPS team
• Opening the office and ensuring that everything is in orderOrdering and setting up breakfast/lunch for in-person client and team meetings
• Ordering, receiving, and unpacking all deliveries for the Chicago office, including office supplies, food, and drinks and continually ensuring we have the appropriate inventory and assisting with the NYC WeWork as needed
• Planning fun and engaging office events and team-building activities, including lunch and happy hour for our monthly in-person agency-wide eventOwning and celebrating employee recognition initiatives, including birthdays, anniversaries, life events, etc
• Maintaining the aesthetic integrity of the Chicago office, conference rooms, and kitchen
• Managing the conference room calendars and office/desk booking for visitors
• Assisting with other Wpromote locations' office operations on an as-needed basis
• Providing support on miscellaneous office projects regarding our hybrid work environment
• Provide support when needed for POPS/HR related needs like onboarding, employee changes, off-boarding, learning and development, and special projects
• Specific tasks include but are not limited to:Creating and monitoring Asana checklists for onboarding and offboarding
• Assisting with relocation process
• Covering new hire orientation in POPS Coordinator absence
• Assisting with new hire scheduling and buddy assignment
• Assist with POPS initiatives (i.e. Mentorship Program, Annual and Pulse Engagement Surveys, Employee Recognition, Compliance, etc)
• Updating employee trackersPeople Operations paperwork
• Maintaining and updating platforms (e.g. Paycom, WILL Interactive platform, iLearningEngine, etc)
• Assist with various ad hoc reports
• Coordinating/executing various Slacks companywide and/or new hire communications
