What the job involves
- We’re looking for a Senior Payroll Specialist to own US payroll operations while helping us build a world-class global payroll function
- This role is ideal for someone who thrives on operational excellence, compliance, and cross-functional collaboration
- While the initial focus will be US payroll, this position offers the opportunity to expand into global payroll ownership - driving consistency, automation, and best practices across multiple countries
- You’ll partner closely with People Operations, Total Rewards, Finance, Systems, Legal, and external payroll providers to ensure accurate, compliant, and scalable payroll operation
- Own US Payroll Operations:
- Own end-to-end multi-state US payroll processing across multiple entities, pay groups, and payroll vendors
- Ensure payroll is processed accurately, compliantly, and on time
- Maintain strong payroll controls through regular audits, reconciliations, and validation processes
- Ensure compliance with federal, state, and local payroll regulations, including tax withholding, new state registrations, quarterly and annual filings (Forms 941, 940, W-2/W-2c), amendments, and resolution of agency notices
- Administer regulated payroll components including 401(k) contributions, benefit deductions, equity compensation, imputed income, and taxable fringe benefits
- Ensure payroll accounting accuracy and timely completion of payroll-related reconciliations
- Perform regular audits within Workday Payroll to ensure data accuracy, integrity, and compliance
- Investigate payroll issues, identify root causes, and implement long-term, scalable solutions
- Support Global Payroll Operations & Drive continuous improvement:
- Support the evolution of Salsify’s global payroll operating model, including implementation and ongoing optimization of Deel and future global payroll solutions
- Develop, maintain, and continuously improve global payroll documentation, SOPs, and operational playbooks
- Standardize payroll processes across countries while respecting local compliance requirements
- Identify and lead automation opportunities that reduce manual work and enhance the employee experience, leveraging AI tools where relevant
- Partner with Systems on Workday enhancements and payroll integrations
- Support payroll implementations, testing, and system enhancements as the function scales
- Support the PX Operations Team:
- Payroll is the primary responsibility of this role
- However, as part of the PX Operations team, you’ll also contribute to broader operational initiatives and provide support when business needs require it, including:
- Workday employee data management
- Employee lifecycle queries and offboarding processes
- Operational documentation and knowledge management
- Cross-functional PX Operations projects and process improvements that enhance the employee and manager experience
Our take
Salsify provides eCommerce retailers with a single platform to keep tabs on inventory, and unify and enrich product content descriptions used at all points of sales. The company can also manage customers’ journeys through data analysis which can allow for more personalized, engaging messaging.
As the retail world shifts more towards eCommerce, brands have to give more consideration to the customer’s digital experience from first impression to purchase. This proves challenging as each route to sale differs from the next, which in turn creates the need for a stack like Salsify.
It’s not the only company of its kind, with the likes of Salesforce and Contently having products with similar functions, but Salsify is performing strongly and has an impressive set of customers on its books including Coca-Cola and Mars. Having raised substantial funding, the company reached unicorn status in 2022, with investment cited to enable Salsify to deliver on its vision to serve as the global system of record and work for digital commerce experiences.
