Role
Who you are
- Experience: 5+ years’ experience supporting C-level or senior executives, with at least 2 years in an engineering operations, technical program management, or similar role—preferably within technology or cybersecurity sectors
- Skills: Superior organizational and time-management abilities. Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite, Google Workspace, and collaboration tools like Slack, Zoom and Jira
- Familiarity with engineering operations concepts such as agile methodologies, project tracking, and technical documentation
- Attributes: High level of discretion with confidential information. Proactive, adaptable, and able to anticipate needs
- Strong multitasking skills and ability to thrive in a dynamic, fast-paced environment
- Education: Bachelor’s degree preferred or equivalent work experience
What the job involves
- We are seeking a proactive, resourceful, and highly organized Executive Assistant to support our Vice President of Software Engineering and up to three additional senior leaders
- This unique role blends high-level executive support with engineering operations responsibilities, ensuring our leadership team and engineering organization run efficiently and effectively in a fast-paced, high-growth environment
- Coordinate complex calendars, schedule meetings across time zones, and manage shifting priorities for up to 3 senior leaders
- Assist in the preparation and management of engineering dashboards, status reports, and key performance indicators (KPIs)
- Draft, review, and manage internal and external communications, ensuring timely and appropriate responses
- Organize and prepare materials for leadership meetings, team offsites, and industry events. Take minutes and follow up on action items as needed
- Plan and book domestic and international travel, including itineraries, accommodations, and expense reports
- Prepare, edit, and manage documents, presentations, and spreadsheets for executive review
- Serve as a point of contact between senior leaders, staff, clients, and partners to facilitate smooth information flow
- Support onboarding of new team members and assist with other administrative tasks as needed
- Partner with engineering leadership to track project milestones, deliverables, and resource allocation
- Assist with budget tracking, procurement of engineering tools, and vendor management as needed
